Field capture for HVAC crews

Capture the job on site. Quote it before the tech’s back in the truck.

One link puts what your tech sees on site, photos, specs, measurements, on your desk before the truck’s back in the yard. Nobody has to call the job back for a number somebody forgot to write down.

Every call answered. Every job booked.

You're under a furnace when the phone rings, so the job goes to whoever picks up. Our voice agent answers in your company's name, asks the right diagnostic questions, and books the inspection straight into your calendar. Day or night, including the 2 a.m. no-heat calls.

  • Answers instantly, 24/7, in your business name
  • Triages the problem before anyone rolls a truck
  • Books real slots from your schedule and texts confirmations

A sample call is running on the right. Alex, the receptionist answering, is an AI assistant that sounds just like a real person. Tap the call and hear it for yourself.

Tap to hear a homeowner call in about a rattling furnace, and get booked for an inspection in about a minute.

Tap anywhere to listen

The average shop misses a quarter of its calls, which can mean $4,000 to $8,000 a month in jobs that went to whoever answered. See the missed-call math or meet the AI receptionist.

Two quick calculators: savings on an upgrade, and a preliminary BTU sizing. Math based on industry-standard methodology with sources cited.

How easy is it?

Three steps, and your tech is only doing the first two.

Step 1

Assign the link before the truck leaves

Pick the tech from your roster in the dashboard. They get the link automatically, nothing extra for you to send.

Step 2

They document the job, not a report

Nameplate, panel, ductwork, whatever the job calls for. It's prompts on their phone, and it keeps working if the basement kills their signal.

Step 3

It's on your desk before they're back

Photos sorted, specs pulled out, heat-load math started. If the job came off Housecall Pro, it's already sitting on the right job.

For comfort advisors

We get rid of the wasted trip. Not the sales visit.

Think mortgage pre-approval: the legwork happens before the meeting, so the meeting is about saying yes. Your advisor walks in with the job already documented and a quote drafted.

Walk in with answers, not a clipboard

Nameplate, panel, ductwork, heat-loss math, all reviewed before you knock. The visit is for closing, not chasing down specs.

You already know the house

Equipment, condition, access: all on your screen before you ring the bell. The first thing out of your mouth isn't “so what have you got.”

Qualify before you dispatch

See the job before you commit an advisor's afternoon. Send your closers to the visits likely to close. Quote the simple swaps from the dashboard.

The on-site visit doesn’t go away. It just stops being the first thing you do.

How does this help your business?

Good techs are hard to find and harder to keep booked all day. Every hour one of them spends driving back for a photo they missed, or your office spends on the phone chasing a serial number, is an hour nobody's billing.

  • One trip covers the job

Your tech captures what the office needs the first time. Nobody drives back for a spec they forgot to check.

  • Keeps working with no signal

Basements and rural sites don't stop it. Whatever your tech captures saves to their phone and sends itself the moment they're back in range.

  • The office stops playing phone tag

Photos and specs arrive sorted by category instead of scattered across texts and voicemail. Less time on the phone, more time quoting.

  • Your branding, not ours

Whoever opens the link sees your company name. We stay in the background.

Frequently asked questions

Does this replace the sales visit?

No. It replaces the wasted trip: the drive you make just to collect information you could have had before you left the office. Think mortgage pre-approval, the legwork happens up front, your advisor walks in with the job already documented and a quote drafted, and the visit is about closing. The sales visit doesn't go away. It just stops being the first thing you do.

What if there's no signal on site?

It keeps working. Whatever your tech fills in, photos included, saves to the phone and sends itself once a signal comes back. Submitting with no signal tells them it's saved and waiting, instead of pretending it went through.

How long does it take on site?

Usually 10–15 minutes. It saves automatically as your tech goes, so an interrupted job doesn't lose anything, and there's no app to install first.

What do I actually get in my dashboard?

A structured submission, not a photo dump: nameplate, panel, ductwork, and placement photos sorted by category, equipment specs, heat-load and cooling-load ranges, a complexity rating, and rebate flags. Most straightforward replacements are quotable straight from the screen.

What about complex jobs?

That's exactly why you qualify first. The capture flags complexity (panel capacity, ductwork condition, site access) before you commit an advisor's afternoon. A simple swap quotes from the dashboard. A full electrification on a 1920s house gets your best person on site, armed with the data.

How accurate is the heat-loss math?

We compute preliminary heat-load and cooling-load ranges from the intake using industry-standard methodology, and generate an HRAI-style F280 worksheet you can review, edit, and sign. It's a head start, not a substitute for your judgment. You stay the professional of record.

What happens to the photos?

They go to the contractor who sent the link and are used to prepare the quote, including automated extraction of equipment specs. The homeowner can request deletion at any time. Full details are in our privacy policy.
